Privacy Policy
This policy explains what personal information HavenNest Homes collects through this website and rental application, why we collect it, and how we protect, use and dispose of it.

1. Who we are
HavenNest Homes ("HavenNest", "we", "us") is an Edmonton, Alberta property builder and landlord. We are responsible for the personal information collected through this site and our rental application. You can reach us at info@havennest.ca.
2. What we collect
When you submit a rental application, we may collect:
- Identity & contact details (legal name, date of birth, email, phone, current and previous addresses);
- Household information — the people who will live in the unit, their dates of birth, relationship to you, and whether adults (18+) will co-sign the lease;
- Residence and rental history, including landlord references and your reason for moving;
- Employment and income information, from any lawful source;
- Proof of income / pay stubs uploaded with your application;
- Only if your application is shortlisted, and via a separate secure link: a credit report and a government-issued photo ID;
- Pets, vehicles, an emergency contact, and your consents and electronic signature (with a timestamp).
We do not collect your Social Insurance Number, and we never charge a rental application fee. We only collect information that is reasonably required to evaluate your application and, if approved, to administer the tenancy.
3. Why we collect it & your consent
We collect this information to assess your suitability as a tenant and to manage the tenancy if you're approved. By submitting the application you consent to this collection and use. Before any credit or background check, we ask for your separate, explicit authorization. You may withdraw consent in writing before a check is performed, though this may mean we cannot process your application.
4. Credit & background checks
With your authorization, we (or an authorized screening agent) may obtain a consumer credit report and verify the information you provide. Your full legal name and date of birth are sufficient for this — we do not require your SIN. Where we use a third-party screening service, we remain responsible for protecting your information.
5. How your documents and data are handled
Uploaded files are transmitted over an encrypted (HTTPS) connection and stored in a private, access-restricted location; we generate only short-lived links for authorized review and never publish your documents. Your application is delivered securely to HavenNest. We apply consistent screening criteria to every applicant and do not make decisions based on protected characteristics under the Alberta Human Rights Act (including source of income, family status, or similar grounds).
6. Service providers & cross-border processing
We use reputable infrastructure providers (including Cloudflare for hosting, security, storage and email delivery, and GitHub for site hosting) to operate this site and process applications. Some of these providers may store or process data on servers located outside Alberta or Canada, where it may be subject to the laws of those jurisdictions. We take reasonable steps to ensure our providers protect your information.
7. Retention & secure destruction
We keep applicant information only as long as reasonably necessary. If your application is not successful, we securely destroy your application and supporting documents (such as your credit report, proof of income and any ID image) within a reasonable period once they are no longer needed. If you become a tenant, we retain the information needed to administer your tenancy for as long as required.
8. Your rights
You may request access to, or correction of, the personal information we hold about you, and you may ask questions about how it is handled. Contact us at info@havennest.ca and we will respond as required under Alberta's Personal Information Protection Act (PIPA) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

We may update this policy from time to time. The "last updated" date above reflects the most recent revision.
